How Many Headshots Per Hour? Planning Your Event Headshot Station
By Julian Buitrago, BLINK Photo Co. · Updated · 6 min read
Lines build at predictable times. Plan for the peaks.
The number one complaint about event headshots is the line. The fix is simple math done before the event: how many people one station handles, when they will show up, and whether you need a second station.
Short answerOne professional headshot station handles up to 30 attendees per hour, about two minutes each. A full eight-hour day covers up to 240 people. For more than that in one day, add a second station (up to 60 per hour, up to 480 a day) or spread it over two days.
Key takeaways
One station: up to 30 people per hour, about 2 minutes each.
Full day (8 hours): up to 240 headshots per station.
Plan for peaks: expo opening, breaks, lunch, the last hour.
Venue needs: about 10 by 10 feet and one standard outlet.
How many headshots can one station take per hour?
At a BLINK station, a guest steps up (no sitting), the photographer directs a few frames, the guest reviews the shot, gets a basic touch-up on the spot, and receives a QR code to their gallery. That takes about two minutes, so one station paces up to 30 attendees per hour.

When do headshot lines peak?
Attendees do not arrive evenly across the day. Lines build at a few predictable moments:
When the expo hall opens and right after the opening keynote.
Coffee breaks and lunch.
The last hour of the show, when people realize they missed it.
If most attendees are only free during breaks, plan capacity for those windows. That can justify a second station even when the daily total fits one.
How do you keep the line short?
Put it on the path. Near registration, coffee or the expo entrance, not in a far corner.
Announce it early. In the registration email, the app and from the stage on day one, so people spread out their visits.
Use the QR sign-up. Guests enter their details while they wait, so time at the station is only the photo.
Post the hours. A sign with open hours and quieter times moves traffic away from the peaks.
Size the days to the schedule. On a two-day event, one station across both days often beats two stations on one day.
What the photographer sees: consistent light for every guest.
What does the venue need?
About a 10 by 10 foot space.
Access to one standard power outlet.
Wi-Fi helps but is not required.
We bring the lighting, a clean professional backdrop, cameras and the editing station, and we provide a Certificate of Insurance for the venue.
When should you book?
Six to eight weeks out is comfortable. For events where you expect 200 or more headshots, ten to twelve weeks gives us time to staff a second station. Budgeting? See the headshot booth cost guide. Having a sponsor pay for it? See how to sell the lounge to a sponsor.
